At TravelKulture, we specialise in delivering bespoke, high-end travel experiences rooted in culture, heritage, and lifestyle.
By engaging our services, making a booking, paying an invoice or deposit, requesting visa assistance, or accepting any travel itinerary, you acknowledge that you have read, understood, and agreed to these Terms & Conditions. These Terms are designed to ensure clarity, transparency, and a seamless travel experience for all parties.
These Terms apply to every booking unless otherwise agreed in writing by TravelKulture.
1. OUR ROLE
We act as a premium travel curator and intermediary, coordinating services with:
- Airlines
- Hotels & luxury resorts
- Embassies & consulates
- Tour operators
- Local partners
We do not own, operate, or control these third-party providers. While we carefully select our partners to meet our standards, all transportation, accommodation, tours, visa processing, and related services are ultimately provided by independent third parties operating under their own terms and conditions. TravelKulture acts solely as an agent or facilitator and shall not be held liable for the acts, omissions, negligence, insolvency, or default of any third-party supplier.
2. BOOKINGS & PAYMENT POLICY
All bookings require full payment or an agreed deposit before confirmation.
Prices are subject to:
- Exchange rate fluctuations
- Supplier price adjustments
- Government taxes
- Fuel surcharges
- Regulatory fees
Quoted prices are valid only for the period stated in the quotation. Prices may change before payment is received.
NB: No reservation is guaranteed until:
- Payment has been received and cleared;
- Suppliers have confirmed availability; and
- Visa applications (where applicable) have been successfully approved.
Failure to complete payment by the agreed deadline may result in cancellation of your booking without prior notice. TravelKulture reserves the right to cancel quotations or bookings where payment is not received within the agreed timeframe.
3. VISA & TRAVEL DOCUMENTATION
We provide expert guidance, document review, and processing support only. All visa decisions are made solely by the relevant embassy or consulate.
TravelKulture cannot influence or guarantee:
- Visa approval
- Processing times
- Appointment availability
- Embassy decisions
Important
Visa fees become 100% non-refundable immediately after submission to the embassy or visa application centre.
We shall not be liable for:
- Visa refusals
- Administrative processing delays
- Embassy closures
- Appointment cancellations
- Documentation errors supplied by the client
- Missed flights or travel resulting from visa issues
Submission of a visa application does not guarantee approval.
4. CLIENT RESPONSIBILITIES
You agree to:
- Provide complete, accurate, and truthful information.
- Submit all requested documentation within the required deadlines.
- Ensure your passport remains valid for at least six (6) months beyond your intended return date.
- Obtain any required vaccinations, permits, or health certificates.
- Comply with immigration, customs, and local laws.
- Review all travel documents immediately upon receipt.
- Notify TravelKulture promptly of any errors.
Failure to comply may result in denied boarding, refused entry, cancelled bookings, additional expenses, or loss of travel services without refund. The client remains solely responsible for ensuring all travel documentation is valid and suitable for travel.
5. CANCELLATION & REFUND POLICY
5.1 Refund Structure
Cancellation 14 or more days before departure:
- 40–60% refund
Cancellation 7–13 days before departure:
- 20–40% refund
Cancellation less than 7 days before departure:
- Non-refundable
Refund percentages depend on supplier recovery and contractual obligations.
5.2 General Refund Rules
All refund requests must:
- Be submitted in writing.
- Include booking details.
- Be sent by the lead traveller.
Refund processing time is approximately 14–45 working days, subject to supplier processing timelines.
Refunds remain subject to:
- Supplier approval
- Applicable deductions
- Banking regulations
TravelKulture cannot accelerate supplier refund timelines.
5.3 Non-Refundable Items
The following are non-refundable:
- Visa fees after submission
- Consultation fees
- Professional service charges
- Processing fees
- Customized itinerary planning fees
- Deposits for bespoke luxury experiences
- Used or partially used services
- Any supplier-designated non-refundable service
5.4 Flight Bookings
Airline tickets are governed entirely by airline fare rules.
Depending on the fare purchased, tickets may be:
- Non-refundable
- Partially refundable
- Subject to airline penalties
- Subject to airline administrative fees
TravelKulture has no authority to override airline refund policies.
5.5 Hotels, Tours & Experiences
Hotels, tours, excursions, transfers, cruises, and experiences are governed by supplier cancellation policies.
Late cancellations or no-shows may attract penalties of up to 100% of the booking value.
Unused services after travel has commenced are generally non-refundable.
5.6 Administrative Deductions
Any approved refund may be reduced by:
- Processing fees
- Currency exchange losses
- Bank transfer charges
- Payment gateway charges
- Foreign transaction costs
- Supplier administrative deductions
5.7 Force Majeure
TravelKulture shall not be liable for delays, cancellations, losses, or additional expenses arising from events beyond our reasonable control, including but not limited to:
- Pandemics
- Epidemics
- Government restrictions
- Border closures
- War
- Terrorism
- Civil unrest
- Industrial action
- Natural disasters
- Severe weather
- Airline operational disruptions
- Power failures
- Internet outages
Refunds or credits in such circumstances remain subject entirely to supplier policies.
6. LIABILITY DISCLAIMER
TravelKulture shall not be responsible for:
- Flight delays
- Flight cancellations
- Schedule changes
- Lost or delayed baggage
- Theft of personal belongings
- Personal injury
- Death
- Illness
- Property damage
- Missed connections
- Acts or omissions of third-party providers
Our maximum liability shall never exceed the total amount paid directly to TravelKulture for the affected booking. Under no circumstances shall TravelKulture be liable for indirect, incidental, consequential, punitive, or special damages, including loss of income, business opportunities, or enjoyment.
7. TRAVEL INSURANCE
Clients are strongly advised to obtain comprehensive travel insurance covering:
- Medical emergencies
- Emergency evacuation
- Trip cancellation
- Trip interruption
- Personal liability
- Lost baggage
- Flight disruption
Failure to obtain adequate insurance is entirely at the client’s own risk.
8. PRIVACY & CONFIDENTIALITY
All client information is treated with strict confidentiality and used only for:
- Service delivery
- Visa processing
- Supplier bookings
- Legal or regulatory compliance
Client information may be shared with airlines, hotels, embassies, insurers, payment processors, or government authorities where necessary to complete travel arrangements or comply with applicable law.
9. COMPLAINT RESOLUTION
Complaints should be submitted in writing within seven (7) days of the relevant incident. TravelKulture will make reasonable efforts to investigate and resolve disputes amicably. These Terms shall be governed by the laws of the Federal Republic of Nigeria. Any dispute that cannot be resolved amicably shall be subject to the exclusive jurisdiction of the competent courts of Nigeria.
10. BRAND PROMISE
We are committed to:
- Excellence in service delivery

- Discretion and professionalism
- End-to-end travel support
While we strive to exceed expectations, we cannot guarantee outcomes dependent upon third-party suppliers or governmental authorities.
11. CLIENT AGREEMENT
Payment of any invoice, quotation, deposit, balance, or receipt constitutes confirmation that you have:
- Read these Terms & Conditions;
- Understood them;
- Accepted them in full; and
- Agreed to be legally bound by them.
Electronic acceptance, email confirmation, electronic signatures, WhatsApp confirmation, or payment shall all constitute valid acceptance of these Terms.
12. CHANGES TO BOOKINGS
Any request to amend a booking after confirmation is subject to supplier approval, availability, and applicable fees. TravelKulture cannot guarantee that requested changes can be accommodated.
13. RIGHT TO REFUSE SERVICE
TravelKulture reserves the right to refuse or terminate services where a client:
- Provides false or misleading information;
- Engages in abusive, threatening, discriminatory, or unlawful behaviour;
- Fails to comply with these Terms & Conditions;
- Fails to make payments when due.
Any refunds in such cases shall be subject to supplier policies and applicable deductions.
14. INTELLECTUAL PROPERTY
All original content created by TravelKulture, including but not limited to itineraries, travel proposals, quotations, travel plans, written content, branding, logos, graphics, layouts, and other proprietary materials, remains the intellectual property of TravelKulture unless otherwise agreed in writing.
Certain photographs, videos, icons, fonts, and other visual assets used on our website or marketing materials may be licensed from third-party providers, including royalty-free platforms such as Unsplash, or used under the terms of their respective licences. Ownership of such third-party materials remains with their respective creators or rights holders.
No part of TravelKulture’s original content may be copied, reproduced, modified, distributed, republished, or used for commercial purposes without our prior written consent, except where permitted by applicable law or the relevant third-party licence.
16. SEVERABILITY
If any provision of these Terms & Conditions is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
